The Seattle Municipal Court Web Portal allows access to case file documents for cases filed after June 23rd, 2014, although some cases prior to that date may have documents on line.

Introduction

With the introduction of Electronic Court Files (ECF), Seattle Municipal Court is now accepting some documents through the Courts Portal filing system. By implementing this system (voluntary for now), the Court will reduce paperwork and improve efficiency for the Court as well as those whom need access to court records

Among the benefits of the electronic submittal system:

  • Ability to file documents from any computer with internet access
  • Lag time between submission of filings to the Court and receipt of filings by parties and Court personnel is reduced
  • The system is available 24 hours per day (although filing dates will be determined by normal business hours (GR 30).
  • No cost for the user

Filing

The portal system is easy to use:

  • A filer creates a document using conventional word processing software and converts it to Portable Document Format (PDF). (See instructions below.)<|li>
  • After logging in to the e-filing system, the filer enters basic information relating to the document, attaches the PDF file and submits to the court.
  • A notice verifying receipt of the filing is automatically generated and emailed to the filer.
  • There are no additional fees for filing document electronically.

*Please note that filings are only accepted in the courtroom for cases set on the day of filing. Filings for cases set for future dates should be submitted via the Portal or to the Records Department on the 3rd floor.

Response

After the submitted documents are reviewed by court staff, the filer will receive an e-mail notifying them of acceptance to or rejection from the case file. An acceptance notification will include the document type, case number and filing date. A rejection notification will include a rejection reason. Documents submitted via the portal will be reviewed for acceptance within 72 business hours.

The filing date defaults to the date the filing is submitted. Filings received after business hours will be marked as received on the next business day.

The document type is a list regulated by the Court from which you may choose the appropriate name to which the filing pertains. Selecting the correct document type is critically important! If you file under the incorrect document name your filing will be rejected (SMCLR 8.4.1)

Documents accepted via Portal filing

Not all court documents are available for Portal filing. The list of documents acceptable for filing electronically via the portal has been reviewed and agreed upon by the court. At this time, only documents that are to be filed prior to a hearing will be accepted through the Portal. Of those, only documents which do not require a judicial signature or dissemination to other parties by the Court will be accepted. The current list of accepted documents is:

Retention Requirements

The Municipal Court Information System (MCIS) will remain as the official court record. The official court file shall be the electronic file maintained on the Courts servers and any papers allowed to be filed in the traditional manner. The Court will discard all papers brought to the Court for entry on the docket after those papers are scanned and uploaded. Therefore, the Court encourages filing users to retain the originals of papers with intrinsic value in case of a need to re-scan/submit the document due to poor image quality or submittal errors.

Converting Word documents to PDF

In Word 2010, the PDF conversion feature is built-in. To use it, click the "File" menu and select "Save As." In the "File Name" box, type an appropriate file name. In the "Save as type" list, select "PDF (*.pdf)." Click "Save" to save the file in the PDF format.
